Scheduling & booking

Let respondents pick a real available time slot and book a meeting inside your form — Calendly-style, backed by Google Calendar.

How it works#

Add a Scheduling page and the page itself becomes a booking widget — a month calendar plus a list of open time slots, just like Calendly. Respondents pick a real available time and book a meeting without leaving your form. You can run the native Halloform picker (backed by Google Calendar) or embed your existing Calendly or Cal.com link instead.

Set up the meeting#

In the Scheduling page's settings (the Event view of the left panel), configure the meeting:

  • Meeting title — shown at the top of the picker and used as the calendar event title.
  • Duration — 15 / 30 / 45 minutes, up to a few hours, or all-day.
  • Event type — one-on-one or group.
  • Location — Google Meet (a video link is added automatically) or in-person / custom details.
  • Host calendar — the connected Google Calendar account used to read free/busy and create the event. Add more than one host to round-robin between them.

Availability#

Availability decides which slots respondents can see. Set your weekly Working hours per day (or link a reusable availability schedule preset like "Office hours"), then fine-tune with:

  • Buffer — padding before and after existing events.
  • Minimum notice — how far ahead the earliest bookable slot is.
  • Booking window — how far into the future people can book (a rolling number of days, or a fixed date range).
  • Slot every — the gap between possible start times.
  • Daily cap — the most bookings you'll take in one day.
  • Blocked dates — holidays and days off.
Open slots are your working hours minus whatever's already busy on the host's Google Calendar (plus your buffer and minimum notice), so respondents only ever see times you're actually free.

What a respondent does#

The respondent picks a day, then a time slot shown in their own timezone (auto-detected, and switchable from a picker). They enter their email (and optionally a name and a note), confirm, and the meeting is booked. A recap shows what, when, who and where, with Add to calendar buttons for Google, Outlook and .ics — then they continue through the rest of your form.

Reschedule & cancel#

The calendar invite includes a manage link so the invitee can reschedule to a different open slot or cancel — no login needed. Rescheduling moves the existing event in place and re-checks the new slot is free; cancelling removes the event and notifies the host. You can also cancel any booking yourself from the form's Bookings page.

Google Calendar#

The native picker pairs with a connected Google Calendar account: Halloform reads free/busy to build the slot list and writes the confirmed meeting (with the invitee, and a Google Meet link when chosen) to your calendar. The Bookings dashboard lists every booking with its status, invitee and notes, and links straight to the event in Google Calendar. If instead you just want a calendar event created from every submission, see the Google Calendar integration.
